FAQs
What is an Online Business Manager?
An Online Business Manager (OBM) focuses on the strategy, systems, operations, and overall execution of a business. OBMs manage the business backend, not just tasks.
At JVAN Services, OBM work includes:
Building workflows and SOPs
Managing projects, timelines, and deliverables
Overseeing contractors or teams
Streamlining operations
Creating structure that supports growth
OBMs think long-term and big-picture.
Why should I hire an OBM?
Hiring an OBM allows you to focus on your business on a larger scale. An OBM can help you strategize and create new services or products that are attractive to your clients by using their expertise and knowledge. They can provide personnel services to you, including hiring and team management, without you having to handle everything on your own. OBMs are your righthand in your business.
How is an OBM different from an Executive Assistant (EA) or Virtual Assistant (VA)?
An Executive Assistant primarily supports one executive’s daily workflow through administrative tasks such as:
Calendar management
Inbox management
Scheduling meetings
Booking travel
Preparing correspondence
An OBM, on the other hand:
Supports the entire business, not just one person
Builds systems instead of completing tasks
Oversees operations instead of managing calendars
If an EA keeps the executive organized, an OBM keeps the business running.
What is clerical or administrative work?
Clerical work includes routine, task-based duties such as:
Data entry
Filing and document management
Answering phones
Taking notes
Sending routine emails
Scheduling appointments
These tasks are reactive and maintenance-based.
They are important, but they are not business management.
Does JVAN Services provide clerical, administrative, or assistant support?
No.
JVAN Services does not offer:
Clerical services
Executive assistant services
Administrative support
Personal assistant tasks
Our work is strategic, operational, and systems-based.
If you don’t do admin tasks, what DO you handle?
JVAN Services handles the infrastructure behind your business, including:
Workflow and SOP creation
Operational audits
Project and launch management
Team coordination and accountability
Systems setup and optimization
Process improvement and efficiency
We focus on building the systems that reduce the need for constant admin work.
Can a business have both an OBM and an Executive Assistant?
Absolutely, and that’s often the best setup.
The OBM builds and manages the systems
The EA executes day-to-day administrative tasks within those systems
JVAN Services frequently works alongside EAs by designing the structure they operate within.
Who is JVAN Services best suited for?
JVAN Services is ideal for:
Business owners who feel overwhelmed by operations
Entrepreneurs ready to scale
Organizations needing structure and clarity
Founders who want systems, not just support
If you’re looking for someone to run tasks, JVAN may not be the right fit.
If you’re looking for someone to run operations, you’re in the right place.
How do I know if I need an OBM or an assistant?
Ask yourself:
Do I need help doing tasks → Hire an assistant
Do I need help organizing, structuring, and managing the business → Hire an OBM
JVAN Services specializes in the second one.
Does JVAN Services still offer Notary services?
Yes.
Notary services are offered separately and are not included in business management packages.
What does it mean to outsource or delegate tasks?
In the online world, outsourcing means assigning tasks or giving control over a specific project or task to someone or something, instead of having to do it yourself. To delegate means to assign a task or responsibility to someone else, with your full trust, to carry out and fulfill. These terms are used often online and help best to describe what a Virtual Assistant is hired for.
What's an SOP?
SOP stands for Standard Operating Procedure. A Standard Operating Procedure is a step-by-step guide on how a task or project is completed in a business and how software or program are used in a business.
Can my documents be notarized electronically or over the phone?
Electronically, yes, over the phone, no. In order to notarize your documents virtually, NYS Notary Publics must be able to see you in real-time, using a state-approved live video notarization platform. Notarizations over the phone are prohibited.
Can a NYS Notary Public come to where I live and notarize my documents?
Yes, but only if you are in the state of New York. If you are not located in the state of New York, your documents will need to be notarized electronically or by a notary in the state or country where you are located.
What can you notarize?
I can notarize a variety of documents, but the most popular notarizations we typically see are:
Affidavits
Child support paperwork
Divorce documents
Permission or travel letters for minors (including those visiting family members in prison or traveling domestically/internationally)
Power of Attorneys
Business certificates
Bills of sale
Contracts and insurance forms
Loan documents
If there is anything in particular that you need notarized, please be sure to do so on the inquiry form when booking your notary appointment.
